Messages for your customers on vacation

Updated:

The holiday season is knocking on the door of many businesses that are preparing to close for a period. If you have thought about taking a few days off but don't know how to tell your clients that you won't be available, we share with you a list of easy and friendly messages that will be useful when doing so.

Keep in mind before drafting those messages that your clients value:

1. Anticipation

If you are planning to go on holiday, make sure you leave everything organised in the office. Complete your to-dos and document the projects you are working on. If you have a CRM, let them know ahead of time - they have responsibilities too. They may need your help before you leave, so getting a head start is a good way to show your professionalism.

2. Proactivity

Your clients won't mind if you take a break, as long as you meet deadlines or the service you have promised them. Be transparent and keep communicating with them to understand their needs.

If you still have doubts about what your clients are like, we recommend this article from our blog about "10 types of clients and how to treat them".

Knowing this, you are now ready to find the message that best suits your business!

Message 1

This message is ideal for informing your client that you will not be available at your workplace, but that another team member will be able to assist with their queries.

"Good morning/afternoon, [client's name],

From [X] to [X days], I will not be available, but my colleague will be happy to assist you with any queries you may have. I will be back on [X day] if you prefer me to address your concern personally.

Here is the contact information for [Name of your colleague], who will provide a quicker response.

Thank you very much. See you soon,

[Your name]"

Message 2

This message will help your client understand that they still have time to send you their query before your vacation.

"Hello, [client's name],

I wanted to let you know that I will not be in the office during [dates you will be absent]. If you need anything before that date, I can assist you via this email or at [phone number].

I am available from Monday to Friday from [your working hours].

Thank you in advance. Regards,

[Your name]"

Message 3

This message will be crucial in conveying calm to your client. Not only will you inform them of your absence dates, but also that you have ensured everything will be in order during your vacation.

“"Hi, [client's name],

I will be absent on [dates you will be away]. The service will be handled by my colleague [colleague's name], who will personally ensure its completion. They will contact you to proceed with the next steps.

Their contact is [phone number / email of your colleague].

Upon my return, I will respond to any emergencies as soon as possible.

Thank you very much, and I hope [name of your company] has provided you with quality service.

Regards,

[Your name]"

Message 4

You can use this message to announce your absence and offer alternatives for your client to progress without you.

"Dear [client's name],

I wanted to inform you that I will be on vacation during [period of your absence]. To make my absence less noticeable, I have prepared these documents and resources for you to use to make your work easier and without assistance. I believe they cover many of the topics we have discussed, but if you think I can attach something else or answer any questions before I leave, I will be available until [X day and time].

Thank you for your trust. See you when I return,

Sincerely,

[Your name]"

Message 5

If you are self-employed, own a small business, or simply close for an entire month and there will be no one available to assist the client, this message will show your interest in them.

"Dear [client's name],

I am writing to inform you that [company name] will be closed for vacation and we will not be available on [days you are absent]. I apologize in advance for not being able to assist you during my absence, but we will be back on [day of your return] and will be open from [working hours] to assist you as soon as possible!

I will respond to any queries or emergencies you send me upon my return.

Thank you for your understanding. I hope you have a great day,

[Your name]"
